Program history at Gaylord
★★★★★“Hiring Orange Thread is one of the best decisions our event planning team has made! ... For our other events where we run technology in house, the technology piece was one of the most stressful parts of our events. ... Working with Orange Thread completely changes that for us. They remove the stress and elevate our events in every way. Their team anticipates what we need before we even ask, communicates clearly throughout the planning process, and handles challenges with calm confidence when they arise.”

★★★★★“I couldn’t have planned this conference without the help and experience from the Orange Thread Live team. We had 10 team members on site for 3 days doing audio, video, streaming, and stage management. They pulled the program off seamlessly. ... This was one of the most professional teams I’ve worked with for an event.”

★★★★★“Once onsite, the OT team took it & managed it to where I never had to worry about a single thing. To have that kind of security in knowing that we had an expert team in place managing such a crucial part of the program is beyond valuable. I hold such a level of trust with you guys.”

★★★★★“The venue was changed 57 days out to MCC and on top of that the number of attendees and amount of production needed, nearly doubled. ... Without skipping a beat, the Orange Thread team made the necessary adjustments ... and helped us pull off an event that at times seemed to be impossible. And they did it with incredible style!”

What our crews have learned loading in, building, and striking in these rooms.
Delta, Davidson, Volunteer, and Tennessee all offer direct vehicle access. Dock-level access varies by ballroom, and forklifts support loading at the Delta and Tennessee pads. We plan each load-in around your ballroom.
Gaylord supplies power to every ballroom with ample voltage. Once your scope is set, we size your power needs and give you an estimate up front.
Gaylord supplies every rig point, and any truss that crosses overhead (ground stacks included) also comes from the venue. We provide truss and labor for the rest. Delta has cable troughs, so we run cable along the wall.
We design rigs that maximize the ground package, which trims overhead truss and rigging labor. We fly cable through the catwalk so nothing crosses the steps or the stage. Smart power planning reduces the electrical bill.
In our experience, Gaylord welcomes outside AV companies. Rigging, power, and internet run through the venue, and Gaylord charges a supervisor fee for outside vendor load-in and load-out. We flag every venue charge in your estimate. We also lay polytak over carpet.
Every Gaylord ballroom and the breakout and meeting rooms across the Delta, Volunteer, Magnolia, Davidson, and Ryman wings.

| Volunteer | 29,120 sq ft | 23 ft | 63 x 31 ft |
| Tennessee | 18,105 sq ft | 21 ft | 40 x 20 ft permanent |
| Davidson | 18,273 sq ft | 18 ft | None listed |

Gaylord programs run from $15,000 to $500,000 and beyond. Every estimate lists venue-billed items separately.
The questions planners ask before they book, answered straight.
In our experience, yes. Rigging, power, and internet run through Gaylord, and Gaylord adds a supervisor fee for outside vendor load-in and load-out. We flag each charge in your estimate.
Gaylord’s in-house team is the default, not your only option. An outside partner gives you one production manager who owns your event, crews trained for corporate rooms, and gear we own and know. We design the show around your program. Ask for both quotes and compare them line by line. We list venue-billed items separately, so the comparison is fair.
Sometimes it is a wash, sometimes it saves money, and sometimes in-house is the better fit. We will tell you which. Gaylord adds a supervisor fee for outside vendor load-in and load-out, and rigging, power, and internet run through the venue. We put every venue charge in your estimate, then design the rig to trim truss, rigging labor, and power. You see the real total before you commit.
Yes. We have produced 27 events at Gaylord since 2024 and worked every Gaylord ballroom, including the Delta at 55,314 sq ft. Our owned LED, audio, video, and lighting scale from a single breakout to a full general session, and larger shows get a 3D rendering for your approval before load-in.
Gaylord provides every rig point, and any overhead truss comes from the venue. We provide the truss and labor for ground packages and the rest of the build.
It depends on the ballroom. Delta, Davidson, Volunteer, and Tennessee offer direct vehicle access, and forklifts support loading at the Delta and Tennessee pads.
Gaylord supplies power with ample voltage in each ballroom. We size your needs after scope is set and estimate the cost before you commit.
Design the rig to maximize the ground package. That reduces overhead truss and rigging labor, and we fly cable through the catwalk to keep the room clean.

Most conferences book 12 to 16 weeks out, and 3 to 4 months is ideal, especially in busy seasons like Q1 and Q3. Earlier means a more accurate estimate and fewer surprises.
