Audio, video, LED, and lighting for your event in the Griffin and Symphony ballrooms, with every hotel AV requirement handled for you. We have produced here since 2021, and your production manager already knows the floor.
You are coordinating catering, rentals, décor, registration, transportation, and AV, all while keeping your client at ease. Hotel AV requirements add one more thread: load-in supervision, venue-supplied rigging, power, and internet. Your attention belongs on your client and your attendees. We take every hotel AV requirement off your plate.
Every year our team plans, funds, and produces the SALT Conference, a large-scale event with everything on the line. We have sat exactly where you sit.
Since 2008 we have produced hundreds of corporate events. Audio, video, LED, and lighting all run from our own shop, 2.6 miles from the JW Marriott Nashville, so one team supports every element of your show.
We bring three to five core questions about what you want your audience to walk away with, so we design with the end in mind.
You see a clear visual of your event and a detailed quote to match, within 72 hours in most cases once we have the right information.
Every show follows the process we have refined over hundreds of events, so you never wonder what happens next.
| The JW provides or requires | What we do |
|---|---|
| A supervisor for outside load-in, plus a dock schedule | We plan load-in around both and show the supervisor fee in your estimate. |
| Rigging labor, truss, motors, and rigging equipment | We design the rig with the hotel team and price it clearly. |
| Power and internet, with tie-ins in both ballrooms | We size your load, request the right service, and estimate it up front. |
| An in-house production team | We coordinate with them on every program. |
| Ground-stacked builds welcome from outside companies | We design to the room so you get the look you want at the right price. |
You approve the plan. We carry every conversation with the hotel.
Spaces we run regularly: the Griffin Ballroom, the Symphony Ballroom, and the second-floor meeting rooms. We have produced in every room on the meeting floor, including back-of-house and green room space behind the stage.
Its sections run from A through H, and groups use them in every combination: one big general session, breakouts, meals, expo space, or a mix. We have run general sessions across Griffin A through E with breakouts in F, G, and H. We have seen groups put meals in one ballroom and the general session in the other. Your agenda sets the layout.
The Griffin Ballroom supports rigged and ground-stacked builds. The Symphony Ballroom supports ground builds. We have built LED walls on stages in both rooms, and we design each one to keep rigging costs out of your estimate while giving you the look you want.
We have built green room and back-of-house space behind the stage, and Tellico serves as a green room when the program calls for it.
| Space | Size | Sections | Ceiling | Rigging |
|---|---|---|---|---|
| Griffin Ballroom | 15,040 sq ft | A through H | 21 ft, column-free | Rigged and ground builds |
| Symphony Ballroom | 10,064 sq ft | A through F | 19 ft | Ground builds |

You walk off stage knowing your client could not have done it without you.

On site, nothing is beneath our crew. If something needs solving, we are already solving it. We anticipate your needs, so you never manage us.
Request any change at any time. If it saves money, we credit your final invoice. If it costs more, we tell you before we bill you. Venue-billed items follow venue terms, and we flag them as early as we know them. Choose one bill and one point of contact, or pay venue items direct. Your call.
Lighting: grandMA2 and grandMA3 control with Martin, Chauvet, and Elation fixtures. Video: Absen LED, Barco projectors, Panasonic broadcast cameras in PTZ and shoulder styles, Ross switching. Audio: d&b audiotechnik and JBL speakers, DiGiCo and Allen & Heath consoles, Shure wireless microphones.
JW Marriott Nashville programs run from $15,000 to $100,000, and premium general sessions go beyond. Venue-billed items, such as the load-in supervisor and hotel rigging, appear on their own lines.
The questions planners ask before they book, answered straight.
Outside AV partners are welcome at the JW. The hotel provides rigging labor, truss, motors, power, and internet, assigns a supervisor for load-in, and allows outside companies to ground stack. We coordinate every one of these with the hotel team and show each charge in your estimate, so you never manage the hotel’s AV requirements.
The hotel provides all three, with power tie-ins in both the Griffin and Symphony ballrooms. We design your rig with the hotel team, size your power load, and give you one clear estimate.
Yes. The Griffin Ballroom supports rigged and ground-stacked builds, and the Symphony Ballroom supports ground builds. We have built LED walls on stages in both rooms, and we design each one around your look and your budget.
Very. Its sections run from A through H and work in any combination: general session, breakouts, meals, expo space, or a mix. Your agenda sets the layout.
The hotel assigns a supervisor for load-in and issues a dock schedule for each program. Our shop is 2.6 miles away, and we build your load-in around the schedule.
Programs run from $15,000 to $100,000, and premium general sessions go beyond. Venue-billed items appear on their own lines in every estimate.
Yes. We run multi-camera production for remote audiences alongside your in-room program.
Changes are normal, and our change guarantee covers them: savings are credited to your final invoice, and added costs reach you before we bill them. The Griffin Ballroom’s flexible sections also give your agenda room to shift, and we adjust the production plan with the hotel team.
You have one person to find. Your production manager runs load-in through load-out and carries every conversation with the hotel, so you are not relaying messages between teams. Our shop is 2.6 miles from the hotel, and the gear is ours.
Within 72 hours in most cases, once we know your dates, the ballrooms you want, and a rough program.
Most conferences book 12 to 16 weeks out, and 3 to 4 months is ideal in busy seasons like Q1 and Q3. To quote, send your dates, the Griffin or Symphony sections you want, expected attendance, and a rough agenda, with a budget range if you have one. Missing some of it? Send what you have and we will fill in the rest with you. Tell us about your event.
Not if we can help it. The hotel bills a load-in supervisor and provides rigging labor, truss, motors, power, and internet, so we show each as its own line before you commit. If your scope changes later, savings come off your final invoice and added costs come with a heads-up before we bill them.
Tell us about your JW Marriott Nashville event. You will hear from us within 72 hours of sharing the details.
